Business Administration & Systems Co-ordinator

Role overview

We are looking for an organised, accurate and proactive Business Administration & Systems 
Co-ordinator to join our team in Boyle.
This is a varied, hands-on position responsible for keeping ProCloud’s business systems, records, 
documents and online information accurate and up to date.
You will work across management, operations, HR, finance, sales and service delivery, providing 
reliable administrative support and ensuring agreed actions are followed through to completion.
The primary focus is business administration and systems coordination. The role also includes a 
smaller element of website, LinkedIn, events and marketing support.

Main responsibilities

 
  • Maintain accurate information across HR Locker, Microsoft Dynamics, HubSpot and other 
    company systems.
  • Review and update employee, customer, supplier, partner and company records.
  • Prepare reports, presentations, correspondence, templates and other business documents.
  • Maintain document libraries, registers, action trackers and company information.
  • Provide day-to-day administrative support to management and operational teams.
  • Support employee onboarding, offboarding, reviews and recruitment administration.
  • Maintain current content on the ProCloud website, careers page and LinkedIn.
  • Assist with company communications, customer case studies, campaigns and events.
  • Identify opportunities to improve data quality and administrative processes.
  • Handle employee, customer and company information securely and confidentially.

 Requirements

 

  • A minimum of 3-5 years’ relevant experience in business administration, office 
    administration, systems coordination or a similar role.
  •  Experience maintaining information within CRM, HR, database or other business systems.
  • Excellent organisational skills and strong attention to detail.
  • Strong written communication, proofreading and document-formatting skills.
  • Good working knowledge of Microsoft 365.
  • Ability to manage multiple priorities and follow activities through to completion.
  • Confidence learning new systems and working across different business functions.
  • Professional judgement when handling confidential information.
  • Experience with HR Locker, Microsoft Dynamics, HubSpot, website content management, 
    recruitment administration, LinkedIn or Canva would be advantageous but is not essential.

You will be dependable, discreet and highly organised, with a practical approach and strong followthrough.
You will enjoy bringing structure to a busy working environment, maintaining accurate information 
and working with colleagues across different areas of the business. You will be comfortable taking 
ownership of recurring activities and proactively following up on outstanding information.
